Implementation Process

Our ERPNext implementation process ensures smooth deployment for UAE businesses. On average an ERPNext implementation takes 3-8 weeks based on the number of modules, users, and any custom requirement. The way it works is as follows.

Step 1
Discovery and Requirements Gathering (Week 1)

We begin with knowing your business, your workflows, your pains, your compliance needs, and your growth strategies. We also sit down with key individuals within the finance, operations, HR, and management sectors in order to create a comprehensive picture prior to any configuration. This step is the one that sets the scope of everything, the time frame and the amount of money that will be used to do all that.

01
Step 2
System Set-up and UAE set-up (Week 1 to 2)

We install ERPNext to your preferred hosting platform - cloud or on-premise - and commence the base configuration. This includes your company structure, chart of accounts, fiscal year, VAT settings, currency configuration and user roles. At this stage, such UAE-specific compliance settings as FTA VAT, Corporate Tax parameters, and WPS payroll are set.

02
Step 3
Module configuration and customisation (Week 2 to 5)

Each module is set to reflect your real business processes - not a template. Development and testing of any integrations with third-party tools, the creation of custom workflows, approval hierarchies, document templates, and any other integrations with third-party tools are developed and tested during this phase. Should there be specific needs in your business relating to manufacturing BOMs, project costing or multi-warehouse inventory, this is where such requirements are dealt with.

03
Step 4
Data Migration and Testing (Week 4 to 6)

Your current data - customers, suppliers, inventory, opening balances, historical records - is cleaned, formatted and migrated into the new system. After the migration is complete, we do a complete user acceptance testing in order to confirm that everything is working correctly before a go-live is approved.

04
Step 5
Training and Go-Live (Week 6 to 8)

We develop your team in either English or Arabic (whichever you prefer), on day-to-day operations, reporting, and how to deal with exceptions. Go-live will be scheduled when there is a low-risk period in your business calendar. We do hypercare support during the first four weeks after launch, to fix any issues promptly and make the transition as smooth as possible.

05

UAE Compliance

When properly configured, ERPNext can address any compliance requirements in the UAE. The following is our configuration that we consider normal in any UAE ERPNext project.

  • FTA VAT Setup — VAT module is set up to have 5% standard rate, zero rated, and exempt under sales and purchase transactions. Tax invoices are generated in the format required by FTA, and the VAT return report is also a direct pull out of your transaction data so that quarterly filing is also a simple process and not a manual exercise.
  • e-Invoicing 2026 Readiness — With the introduction of mandatory e-invoicing requirements starting in 2026, the UAE is preparing to implement such requirements. We design the implementation of ERPNext in such a way that it matches the expected technical standards such that your system does not need to be rebuilt when the mandate comes into play.
  • Corporate Tax Reporting — the accounting module of ERPNext is set up with the corporate tax reporting of the 9% UAE Corporate Tax, which was introduced in 2023. In case of businesses which have multiple entities, we prepare separate books which combine accurately at group level.
  • WPS Payroll — Payroll is calculated and exported as the Salary Information File that is required by MOHRE to submit WPS. The system supports the calculations of gratuity according to the UAE Labour Law, leave encashment, and all the common types of deductions.

Faq

The ERPNext software itself is totally free to download and use – there are no licence fees regardless of the number of users or the size of a company. What businesses pay for is implementation, customisation, hosting and continued support and this is where our team comes in. To the majority of the UAE SMEs, the overall cost of an ERPNext implementation is considerably less than comparable Odoo Enterprise or SAP implementations.

ERPNext vs Odoo: which is better for Dubai SMEs?

Both are good platforms and both are currently in use by Dubai businesses. ERPNext also has an advantage in terms of the total cost of ownership since there are no per-user licence fees, and the manufacturing and healthcare modules of ERPNext are especially powerful. Odoo has a smoother interface and a more extensive network of local partners. The correct decision will be based on industry, level of technical comfort of your team, and your budget and it will be a decision worth taking the time to get right instead of falling into the more comfortable name.

Yes. ERPNext includes a dedicated VAT module, which calculates 5% UAE VAT on all the transactions, generates tax invoices in the correct format, and produces the VAT return report in the appropriate format. We also prepare Corporate Tax set up and e-invoice readiness ahead of the 2026 mandate.

An average ERPNext implementation for a UAE SME usually requires 3-8 weeks between the kick-off and go-live. The setups that involve only a small number of modules and a small user base can be completed in a shorter time compared to those that deal with manufacturing, multi-warehouse inventory, or integration specifics. We give a realistic schedule following the initial discovery session – not an optimistic estimate targeting to win the project.

Yes, Odoo is modular. We are a trusted odoo partner dubai and we are able to help you with a small business and expand along the way as your business develops.
